Amount Based Agreements: Pre-Paid Hours

Scope: Pre-Paid Hours can be used to cover any of the following:

  • On-site hardware installation 
  • Physically moving equipment 
  • New software installation or upgrade (such as new CRM, ERP, EHR, etc.) 
  • Major data restoration 
  • Disaster recovery due to hardware failure, water/fire damage or theft, virus or malware infection 
  • Labor to replace defective desktop, laptop or installed components covered by manufacturer’s active warranty (device redeployment or rotation excluded) 
  • Adding or Removing User accounts, system, or email 
  • Work done to make customer’s environment compatible with our Managed tools and services. 
  • Backup Restores 
  • vCIO 

 

Pre-Paid Hours – Availability; Expiration

  • Onsite or remote services: Monday - Friday, 8:00am – 5:00pm, excluding all Nationally recognized holidays, subject to technician availability. 
  • Note: Pre-Paid Hours, if requested during non-business hours, will be deducted at twice the normal rate and are subject to technician availability. 
  • Expiration. Pre-Paid Hours must be used within one (1) year after they are purchased (“Purchase Date”).
    Purchased but unused Pre-Paid Hours automatically expire one (1) year after the Purchase Date.    

 

Additional Hours

We will endeavor to notify you in advance if it appears that the Pre-Paid Hours will be insufficient to finish a project or service. At that point, we will quote and invoice additional Pre-Paid Hours under this SOW. ManagedIT services require active Pre-Paid Hours in place at all times. If you do not purchase additional hours, then our technicians will cease all work upon the expiration of your Pre-Paid Hours, regardless of the stage or degree of completion of the applicable project or service. Pre-Paid hours may be purchased in a $2,500 block minimum.  

 

Quantity; Fees; Billing Fees.

  • Additional Hours. We will endeavor to notify you in advance if it appears that the Initial Hours (or any subsequently purchased additional hours) will be insufficient to finish a project or service. At that point, we will quote and invoice additional Pre-Paid Hours under this SOW. ManagedIT services require active Pre-Paid Hours in place at all times. If you do not purchase additional hours, then our technicians will cease all work upon the expiration of your Pre-Paid Hours, regardless of the stage or degree of completion of the applicable project or service. Pre-Paid hours may be purchased in a $2,500 block minimum.  
  • Fees. The Fees for the Initial Hours are as indicated in the quote accompanying this SOW. Additional hours will be invoiced to you and must be paid, in full, before additional hours are allocated to you. Discounted Preferred Rates are not available for project work or Amount Based Agreements under $2,500.
  • Usage. Time expended by us in the provision of our services, as well as the diagnosis and evaluation of any issues or projects, will be debited against the Service Hours. 
  • Increments. Our technicians bill for their time in fifteen (15) minute increments. Partial increments will be rounded up to the next highest fifteen minute increment. 
  • Travel. There will be a one (1) hour minimum debited against your Pre-Paid Hours for all services in which travel is required. You will be responsible for the additional payment, without markup, of all tolls, parking fees, reasonable gas expenses, and related expenses that our technicians incur while traveling. 
  • Costs. Additional expenses (if any) that we incur in the provision of our services to you, such as licensing fees, hardware and software expenditures, etc. will be billed to you. We will obtain your permission before incurring these fees.
